Greater Austin Merchants Cooperative Association(GAMA) is currently seeking a Administrative Assistant

Company Description:

The Greater Austin Merchant Association, Inc. is one of the leading independent convenience store cooperatives in the nation. GAMA provides many benefits and values to its members. GAMA operates a full-service warehouse and distribution center supplying goods and services to the convenience store industry.

General Summary:

The Administrative Assistant supports the company’s customer service activities by directing and overseeing team members, resolving customer questions or complaints, and developing programs/procedures to enhance productivity and performance. They will also work in a variety of ways to deliver outstanding customer support and develop customer relationships.

Key Responsibilities and Accountabilities:

Handle all customers complaints or concerns

Answers incoming telephone calls

Schedules, cancels, and confirms meetings for/with OM as directed.

Creates new accounts for members

Contacts various staff members to assist guests as needed

Answers inquiries and creates Analysis pertaining to Warehouse goods and services

Maintains a great visual of the office area for members and customers.

Manages member related calendar of events and activities i-e town hall, roundtables.

Communicate with customer related to out-of-stock items in orders placed.

Communicate with customers related to late deliveries and delivery schedules.

Prepare facility for meetings and organizes all logistics to ensure smooth meetings.

Performs other duties as assigned or requested per OM.

Creates weekly and monthly analysis of customer service improvement activities.

Provide Direct Customer Support

The administrative assistantresponds directly to customers who need assistance, will answer phone calls or emails from customers to provide quick resolution of issues and questions of team member, and will provide direct customer support during the operation hours of 9:00am – 6:00pm

Review and Resolve Escalations

The administrative assistant identifies solutions to customer’s queries or directs them to another department that can help, manages all escalations that require significant customer service skills and diplomacy to ensure that the customer is satisfied.

Support Process Improvement

The administrative assistant improves overall department and organization efficiency and performance by identifying opportunities to enhance internal processes. The administrative assistant will gather data related to customer contact and interactions and use this data to prepare reports and analyses of which processes are working and which can be improved.

Educational Requirements:

High School Diploma or equivalent

Physical Requirements:

May be standing or sitting for extend period of times

Extended period working in front of computer monitor

Some days of prolonged walking

Must be able to lift 50lbs
