SUMMARY:

This position is primarily responsible for providing support activities for the Key Leadership Team. Duties may include general clerical, creating and distributing reports, routine communications, and project-based work. The ability to project a professional company image through in-person, email and telephone interaction is essential. Performing the following duties requires extensive software knowledge, excellent organizational and strong communication skills.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

Answer all incoming phone calls along with being the Ambassador of First Impressions for customers and visitors.

Completion of sales orders, invoices, and return authorizations in a timely and accurate manner.

Assist in Accounts Receivables, statements, and general customer communications.

Generate company reports as directed on a daily, weekly, monthly, and quarterly basis.

Ensure completeness and accuracy of company documents, correspondence for vendors and internal/external customers, flyers, product lists, etc.

Ability to function in a high stress environment and the ability to resolve conflict for internal and external customers as needed.

 Maintain department activities and coordinate project tasks with cross functional teams to exceed customer expectations.

Maintain new item specs and customer database

 Create and distribute weekly, monthly, and quarterly KPI and financial reports.

Coordinate customer visits as required.

 Maintain upkeep and appearance of offices, kitchen and bathroom

Order office and warehouse supplies as need and keep breakroom stocked

Errands as needed

EDUCATION AND/OR EXPERIENCE:

Associate degree or 2 years of related support experience

Demonstrated ability to function in a fast-paced environment.

Advanced skills in Excel, Word, Power Point, and Outlook

Experience with Microsoft 365 Business Central (preferred)

OTHER SKILLS AND ABILITIES:

Ability to complete work with limited supervision.

Proficient skills in common computer software applications

Ability to multitask in a faced paced environment.

SUPERVISORY RESPONSIBILITIES:

This job has no supervisory responsibilities.

LANGUAGE SKILLS:

Ability to read and interpret documents such as safety rules, operating and process instructions, and procedures. Ability to write routine reports and correspondence. Ability to speak effectively with customers or employees of an organization.

MATHEMATICAL SKILLS:

Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals.

REASONING ABILITY:

Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations.
