Project CoordinatorMonday - Friday 8:00am-5:00pm onsite. The Project Coordinator supports various Project Teams by organizing, coordinating, and verifying the necessary resources (internal and external) needed to fulfill project activities ensuring project objectives and customer expectations are met. Assists in the completion of project tasks as identified by the Project Manager. ESSENTIAL DUTIES AND RESPONSIBILITIES
- Responsible for end-to-end project coordination responsibilities including project documentations, project set up, and reporting.
- Responsible for project setup to include project folder and DSO setup.
- Assist in the completion of project tasks across multiple customers in alignment with project timeline.
- Assist in documentation of implementation process including project plans, milestones, installation, and troubleshooting guides.
- Responsible for executing and managing the invoicing efforts for each project based on the statement of work (SOW).
- Provide updates for project status reports, concentrating on schedule and deliverables.
- Provide tech training as necessary on project details.
- Identify improvements to processes, documents, tools, and reports.
- Place pre-site calls with customer retail stores reminding them of service appointment and confirming site readiness.
- Communicate major milestones and priorities, as well as bottlenecks and other challenges which have the potential to affect a successful delivery or outcome.
- Participate in team meetings as well as client meetings as needed.
- Assist with training of temporary talent during peak busy seasons.
- Understand the project scope and serve as a resource for field technicians for basic troubleshooting as needed.
- Regular and predictable attendance is an essential function of the job.
- High school diploma or equivalent. Two- or four-year degree preferred. Experience may be substituted for part of educational qualifications as appropriate.
- One to three years experience in a project coordination or customer service role with high level of interaction.
- Excellent time management and organizational skills with attention to detail and accuracy.
- Superior ability to multi-task, prioritize multiple projects, adjust to changing workflow and workload accordingly.
- Must be highly motivated and versatile, with the ability to work independently, take initiative, exercise discretion, demonstrate sound judgment, participate as an effective team member, and follow projects through to completion.
- Strong communication skills with demonstrated ability to express ideas and information (both in written and oral form) clearly and concisely in a manner appropriate to the audience.
- Ability to be accountable for quality customer service and respond appropriately to a variety of personalities and situations.
- Ability to maintain quality and safety standards.
- Must be able to read, write and speak effectively in English.
