JOB DESCRIPTION

We are a commercial cleaning company and the candidate for this position will oversee clients/employees in the Boston area and it’s surrounding towns. Ideal candidate must possess excellent English speaking skills and be also bilingual in Portuguese and/or Spanish. The Operations Coordinator is responsible for all aspects of operations management and all operations matters in relation to the company's clients and needs, including a wide range of duties and responsibilities connected with the client's satisfaction. This includes professional communication, staffing, security, reports, cleanliness, routine and preventive maintenance plans.

They will monitor progress, manage/oversee/assign the delivery of materials, carry out safety checks, and sort out any problems that could hold up work as they arise. The Operations Coordinator will also keep in close contact with clients, managers, supervisors, and employees at all times. They will also ensure that the work complies with regulations and health and safety legislation as well as other legal requirements.

The specific duties of a Operations Coordinator include formulating strategies, improving performance, procuring material and resources, and securing compliance. You should be ready to mentor your team members, find ways to increase the quality of customer service and implement best practices across all levels.

QUALIFICATIONS/SKILLS/ABILITIES

12. Ability to manage materials, equipment, and supplies (material management).

ESSENTIAL FUNCTIONS

Some of your tasks include, but are not limited to:

1. Be on call 24h/7 days to respond to emergencies.

2. Audit and verify non-conformity rules and policies and make necessary changes to achieve compliance.

3. Audit and make sure all employees are in accordance with the dress code policy for each position and location. This includes the use of a proper clean and neat uniform, company ID, proper shoes, PPE, and necessary accessories.

4. To manage inspections of clients’ buildings and prepare accurate reports. Suggest preventive actions and solutions.

5. Manage own time effectively and demonstrate initiative, including establishing priorities.

6. Prioritize and manage workflow while maintaining a flexible approach to responding to urgent requests.

7. Develop, implement, and review operational policies and procedures.

8. To be able to conduct and execute any operational service/task/project, if needed.

9. Determines labor needs to meet production goals.

10. Ensure all legal and regulatory documents are filed and monitor compliance with laws and regulations.

11. Identify and address problems and opportunities for the company.

12. To ensure that the management and maintenance of the client’s buildings and environment are effectively undertaken.

13. To create and maintain an effective premises team, ensuring that the changing needs of the clients are met through training and development of the premises staff.

14. Lead, motivate, and support a large team within a time-sensitive and demanding environment.

15. To manage the supervisors, site managers, project managers and assistants, and all employees assigned under their positions.

16. Monitor and fill out payroll worksheets and reports on a weekly basis, accordingly to HR needs.

17. Delegate tasks as appropriate to other site staff, ensuring Health & Safety regulations are strictly adhered to.

18. To monitor the performance of the cleaning with the area manager to ensure a clean, tidy, and well-maintained school environment.

19. Give feedback to the team providing people with information about what they do well and what they need to improve.

20. Find replacements for absent employees and work together with HR Department on the lookout for new or employee replacements and conduct 1st interviews.

21. To be responsible for the health & safety of the site.

22. Implement e monitor all necessary actions to solve problems.

23. To maintain professional and constant contact with clients, vendors, managers, and employees.

24. Build effective schedules for managers and assistants.

25. Training new managers and supervisors to ensure they have all the necessary information and tools to maintain the required standards of service quality the company expects.

26. To oversee materials and inventory management.

27. Submit monthly purchase requests for clients’ and employees’ needs (chemicals, paper goods, equipment, PPE, etc.).

28. Provide repair for the equipment and vehicles, if needed.

29. To monitor and make supply ordering (if needed).

30. Organize and monitor projects and events with the team, ensuring every resource necessary is taken care of.

31. Assists with budget preparation for the operations unit.

32. Ensure operational activities remain on time and within a defined budget.
