Job Title: Medical Front Office Receptionist

Work Location: Parker, Colorado 80138 (near E470 and Parker Rd.)

Reports To: Practice Manager

Full-Time (M-F 8-5)

Job Overview:

Our busy Podiatric Medical Practice requires the talents and skills of an experienced and professional Medical Receptionist with healthcare and customer service experience. This person should be outgoing and friendly with a pleasing personality and natural talent for customer/patient service. The Medical Front Office Receptionist will support our delivery of quality patient care and protect our patients PHI by following all HIPAA guidelines.

Duties and Responsibilities:

▪ Welcome/Check In all patients and visitors, in person or over the phone

▪ Operate a multi-line system to answer calls, transfer calls, provide information, schedule appointments and route calls as needed

▪ Process incoming referrals by contacting patients for scheduling within 24 hours of receipt

▪ Process incoming orthotics and contact patients for scheduling; utilizing the ‘Orthotics Log’ document

▪ Register new patients and maintain accurate existing patient information, ensuring all demographics, guarantor information and insurance details are accurate and current

▪ Responsible for obtaining insurance authorizations needed for Durable Medical Equipment

▪ Maintain the Physicians’ schedules by accurately scheduling or cancelling appointments made in the clinic, over the phone or through our online scheduling portal

▪ Manage scheduling and travel coordination for our offsite Specialty Clinic program

▪ Utilize, maintain and update our online scheduling platform for appointment requests. This task is performed several times throughout the day

▪ Process incoming faxes and the Practice email account, routing to the appropriate staff as needed. This task is performed several times throughout the day

▪ Collect and post High Deductible deposits, copayments and all patient balances; must be able to explain balances to a patient when necessary, including claims processing and payments

▪ Contact various insurance companies to verify coverage and to gather information about coverage of Durable Medical Equipment and/or Office Visit coverage prior to patient visit. Ensure all insurance information is correct

▪ Assist our billing office with prompt communication regarding issues that may arise during claims processing

▪ Daily collection of mail will be sorted and routed as directed. Facilitate proper routing of incoming Explanation of Benefits, claims payments and other billing correspondence to our billing office. All requests for medical records are to be approved by the Manager prior to proceeding

▪ Maintain a professional, clean and organized environment in the waiting room; cleaning and sanitizing daily

▪ Perform other administrative tasks and duties, as assigned by the Front Office Manager

Qualifications/Education/Work Experience Requirements:

▪ Excellent written and verbal communication skills, including ability to effectively communicate with staff, Physician(s), external agencies and our patients

▪ Must be able to work under pressure, multi-task and meet deadlines, while maintaining a positive and professional attitude, and provide an exemplary patient experience

▪ Ability to work independently to carry out assignments to completion within parameters of instructions given, prescribed routines, and standard accepted practices

▪ Excellent computer proficiency (MS Office – Word, Excel, Outlook; Google Chrome, Google Drive)

▪ 2+ years of Medical Reception experience working for a healthcare practice or hospital

▪ 1+ year experience in customer service, with knowledge of medical terminology

▪ Possess a comprehensive understanding of healthcare insurance

▪ Able to maintain confidentiality and adhere to ethical standards and HIPAA guidelines
