Our firm is an independent financial services organization that offers financial planning, investment management and insurance protection services to clients throughout the western United States. In addition to our wealth management offering, we also function as an Office of Supervisory Jurisdiction (OSJ) to approximately 55 financial advisors. We are a strong team, and our advisors know us for getting the job done. They trust our team to ensure that paperwork is complete, processes are followed and that their business is moving.
The OSJ Branch Office Assistant is responsible for handling routine matters, answering inquiries, researching, resolving service problems, and assisting with preparing required documentation. Other duties include scheduling appointments, tracking business transactions, answering phones, and exceptional customer service. You will be patient, thorough, able to track many things without losing track of anything and, above all else, no detail is ever missed. We are incredibly fast paced so you will thrive in that atmosphere. We genuinely like each other and want to help each other and our advisors but we have the right balance between work and life.
Daily activities include but are not limited to:
Act as the first point of contact for clients and Financial Professionals over the phone, email and/or in person
Serve as a liaison between clients, Financial Professionals, and the Home Office
Set up and maintain files, both paper and electronic
Research and resolve service matters
Prepare, process, and follow up on all business – accuracy is a must
Perform administrative and support functions for day-to-day operations
Process incoming and outgoing mail through USPS, UPS and FedEx
Leverage MS Office to create and manage documents and spreadsheets as needed
Inputting data into various proprietary softwares
Support the overall business with various administrative projects and tasks
Position Requirements:
2+ years of clerical/office experience preferred
6+ months of securities or related industry experience highly preferred
6+ months of customer service experience preferred
Strong and diverse computer experience and aptitude to learn new technologies
Strong attention to detail and ability to investigate and research situations
Strong verbal and written communication skills
Ability to communicate with co-workers and various business contacts in a courteous and professional manner
Ability to self-study and work independently and/or remotely with minimal supervision
Candidate must be self-sufficient, self-reliant, and self-directed

Seeing: 75-100%
-Must be able to read reports and use computer.

-Must be able to hear well enough to communicate with co-workers and customers
