Job Summary:

The Operations Assistant is responsible for completion of administrative tasks assigned by the Chief Operating Officer/Operations Project Manager and provide direct administrative support to the Operations Team and UCP’s program teams.

Current (January 2024) key tasks include: Assisting with new Rideshare Transportation administration; assisting with new Financial Management Services program administration; Assisting with new program billing and KPI tracking; assisting the Project Manager on daily tasks and projects; assisting the eLearning Specialist with general admin work and projects; Assisting the COO with general admin work and projects.

Duties and Responsibilities:

Provides daily administrative support to the COO and Project Manager and other members of the Operations Team.

Assists with general admin work to support daily program operations (data entry, documentation and writing, software support, and project tracking).

Prepares correspondence, reports, department forms.

Develops and maintains physical and electronic files.

Collects and tabulates monthly Key Performance Indicators (KPI’s) from each program.

Anwers general phone calls and emails.

Completes meeting minutes.

Drafts and edits general correspondences such as memos, letters, policies and procedures.

Provides program support on IT and admin issues.

Travels to program locations to provide on-site administrative support as needed.

Other duties as assigned.

Required Skills/Abilities:

Ability to use Word, Excel, Outlook, and Teams applications to schedule meetings, prepare documents, complete data entry, and complete other administrative tasks.

Ability to use other software to assist with general administrative work for programs.

Must be able to communicate in both verbal and written forms.

Ability to interact in person and over the phone with a wide variety of constituents.

Ability to work collaboratively with diverse groups of people and teams.

Detail orientated.

Education and/or Experience:

Minimum high school diploma or GED required. Associates Degree or higher level of education preferred.

Must have at least 2 years of experience in a professional environment and have strong administrative skills.

Physical Requirements:

Prolonged periods of sitting at a desk and working on a computer and/or talking on the phone.

Travel to program locations throughout the area.

Must be able to occasionally lift and/or carry up to 25 pounds.
