Speaking, reading and writing.Primary FunctionThe Admissions Specialist is responsible for the dissemination of general school information and assisting in the recruitment, application, and registration process. The specialist will assist with other Admissions events and activities as required throughout the year. The Admissions Specialist is expected to work a flexible schedule in order to accommodate the various needs of the Office for Admissions.Responsibilities include, but are not limited to: Provide a professional, helpful, welcoming atmosphere and a positive attitude for faculty and staff as well as prospective students, families, callers and visitors of the Office of Admissions. Provide initial admissions information, assistance with the online application for admission, respond to routine questions regarding the admission process and requirements Support and assist prospective students and families with the admissions process: providing guidance and individualized help to ensure the removal of any barriers towards completing an application for consideration. Work with strategy and purpose to recruit, welcome, and retain students from diversebackgrounds. Review and accept required paperwork and documentation, such as middle school transcripts, financial information, Recommendation letters, etc. Refer prospective students and families to the Director of Enrollment and Recruitment when necessary. Maintain an accurate prospective student database, while maintaining strict confidentiality, privacy and security of student records and other sensitive information. Participate in the preparation for, and facilitation of, admissions workshops and presentations and events. Collaborate closely with the Director of Enrollment and Recruitment in all areas related to recruitment and assisting with special projects as needed. Provide administrative support to the department as needed including, but not limited to, phone calls to parents and prospective students, organizing mailings, other department needs, etc. Support the enrollment process and the new student transition to Summer Bridge Program. Provide service excellence through courteous, informed, accessible and professional engagement. Other duties as assigned by the Director of Enrollment and Recruitment and school President.Requirements Understanding and support of the mission of the school. Familiarity with the different communities and neighborhoods in San José and the different organizations that serve them. Languages: Fluency in English/Spanish is required. Speaking, reading and writing. A High School Diploma or equivalent with two (2) years of closely related work experience or a combination of completed education and/or related work experience equal to three (3) years is required. Preferred: A Bachelor’s degree is preferred, as is a working knowledge of high school admissions practices.Skill Qualifications Excellent interpersonal skills and be able to effectively communicate in writing and verbally in a professional, diplomatic, empathetic and tactful manner. Ability to deliver a high level of interactive customer service, and exhibit a positive, friendly, helpful attitude, as well as the ability to work in a high volume office. This position must work well with students, families, faculty and staff at all levels within a diverse, multicultural, collaborative environment. Excellent organizational skills and attention to detail. Attentive listener with the ability to respond to questions asked by prospective students and parents regarding the school, its policies and procedures. Attends the workplace regularly, reports to work punctually and follows a work schedule to keep up with the demands of the worksite. Willingness and availability to work occasional evenings and weekends. Proficiency with standard office equipment accompanied by strong computer skills and data entry skills. Competence with Microsoft Office software including Microsoft Word, Excel, and PowerPoint. Competence with Google Drive, Google Docs, and G-Suite is a plus.Applicants must provide their phone number.
