$20.82 - $25.62 / Hourly
Schedule = Tuesday - Friday (8am-430pm)
Full Time (if over 30 hours weekly) / Benefit Eligible (Blue Cross Blue Shield) / Benefits begin the 1st of every month
REQUIREMENTS = This position requires strong administrative skills and entails a lot of records management and data entry of resident's information and documents. This incumbent will possess strong computer skills and attention to detail. Knowledge of scheduling appointments in Microsoft Outlook a plus. This position will be located in a small Medical Clinic within Royal Oaks Retirement Community

Position Summary:
Under the supervision of the WellFit Supervisor and Life Plan Coach, the WellFit Assistant will be responsible for a variety of administrative duties of the WellFit Department.
Major Duties and Responsibilities:
Responsible to ensure that the WellFit department requirements for administrative support are undertaken efficiently and professionally including:
Answering resident requests and questions by e-mail and telephone in a timely manner.
Schedule various services for residents.
Accurately and promptly enter resident information in the electronic medical record system to support the ongoing care provided to residents.
Scan and attach chart documents electronically, following naming conventions.
Faxing physicians, pharmacy and ancillary providers as needed in the process of securing orders, notifying providers and requesting resident medical information.
Accountability in the safe delivery and storing of the resident packaged pharmacy medications.
Accountability in the safe disposal of residents’ expired medications following policy.
Prep treatment rooms by maintaining sufficient supplies, disinfecting work areas, including staging necessary supplies as requested.
Responsible for ordering, receiving, and stocking supplies and current forms in the WellFit Clinic, and disposal of expired supplies.
When requested by the Supervisor and/or Nurse assists and escorts residents for medical appointments on or off campus.
Ensures continuity in communications which includes maintaining an accurate electronic medical records (EMR), and report observations.
Accountability for recording temperature of medication and specimen refrigerators on daily temperature logs.
Responsible for coordinating weekly on-site Lab draw for phlebotomist.
Accurately uploads documents on community Portal as requested.
Reserves conference rooms as requested.
Routinely charges out treatments/supplies to residents in Orbits.
Performs any other care function as trained and qualified to perform at the direction of Supervisor and/or Nurse.
Manages time effectively and reports to the WellFit Supervisor or Nurse when leaving the Wellness Center.
Interacts courteously and appropriately with residents, family members, visitors, and other staff members under a variety of conditions and circumstances.
Collaborates within the WellFit Department staff on Fitness/Wellness projects, for the greater good of the staff members and senior population at Royal Oaks, within the scope knowledge, skills and abilities.
Maintains the comfort, privacy, and dignity of each resident and staff member in the delivery of services. Interacts with residents and staff members in a manner that displays warmth and promotes a caring environment.
Full understanding of residents’ rights, including the right to be free of restraints and free of abuse. Is responsible for promptly reporting to the Director of Health Services, or the President and Chief Executive Officer (CEO) incidents or evidence of resident abuse or a violation of residents’ rights.
Observes residents for changes in condition or behavior and promptly reports these changes to the Supervisor, WellFit Nurse, or Community Safety and Emergency Services Department.
Assists in maintaining a safe, neat, and clean environment. Reports all deficiencies to the appropriate person, such as equipment problems, need for repair or special needs of residents.
Ensures facility and department policies, procedures, and guidelines, as well as local and state regulations, are met and followed.
Performs all job responsibilities in accordance with prescribed safety and infection control procedures, including thorough hand washing, use of disposable gloves where indicated, and proper disposal of soiled materials.
Is committed to keeping confidential any sensitive information.
Strive for innovative ways to improve the daily administration within the WellFit department.
Attends to individual needs of residents, which may include, but not be limited to, assistance with transferring, ambulation, communicating, and transport of residents, using proper body mechanics or lifting devices, other needs in keeping with each individual’s care requirement when assigned by Supervisor or WellFit Nurse.
Attends and participates in training activities, meetings, seminars and assist other areas when needed.
Knowledge and Skills:

Computer Proficiency- Microsoft Word/Excel, Outlook and Internet
Organized, able to multi-task, think creatively and be able to adapt to different situations.
Education and Experience:
High School diploma or GED equivalent required
Preferably one year of medical office experience
Strong computer and time management skills
Competency in the position through continuing education.
Must obtain and maintain the following:
CPR and First Aid certification with American Heart Association within 30 days of hire. We will assist you.
Fingerprint clearance card apply within 10 days of hire. We will assist you.
Communication Skills:
Has clear speaking voice, must be fluent in English.
Ability to speak, work and interface with all levels of co-workers, residents and guests.
Ability to write routine reports and correspondence.
Demonstrates excellent telephone and customer service etiquette.
